POSITION SUMMARY
The Administrative Coordinator is responsible for overseeing the daily operations of the CEO’s and COO’s office.
ESSENTIAL FUNCTION
- Support the Chief Executive Officer
- Human Resources
- Staff onboarding – background checks, fingerprinting, computer and email account set up.
- Ensure all employee files are current with all certificates needed, phone laptop and tablet distribution if needed.
- Update system master list with current employee information and serial #s for equipment.
- Verify equipment is in working condition and cleaned when being returned.
- Payroll – verify all documents have been completed in a timely matter and verify staff hours for payroll
- Board meeting and event preparation – invitations, catering and set up
- Order office supplies
- Maintain CEO’s daily schedule
- Assist in system quality assurance documentation
- Front desk coverage as needed
POSITION QUALIFICATIONS
- Excellent verbal, written and customer service skills required.
- Excellent organizational and management skills with the ability to prioritize workload and meet deadlines and juggle competing tasks.
- Must have strong knowledge of computer software applications including MS Office Suite and Outlook.
- Commitment to maintaining appropriate boundaries with clients and staff, and ensuring confidentiality of all information and records.
- Excellent customer relationship skills is a must.
Education/Certifications:
- Qualified candidates must possess a college associate or bachelor’s degree.
Experience:
- At least 2 years of experience as an executive assistant
WORK ENVIRONMENT
Work is performed at the office primarily between the hours of 9am to 5pm. Work is occasionally performed in emergency and stressful situations. The noise level in the work environment is usually quiet in office settings. Hybrid working environment. This is an in house position and one must be able to get to the office daily. Once established, there may be an opportunity to occasionally work remote. have the ability to work in the office minimum three days a week.
