Oversee, plan, direct, budget, and coordinate a variety of overall and project-specific functions involving scheduling, staffing, materials, and equipment. Interact with General Contractors, other subcontractors, client contacts and other activities to ensure projects are delivered on-time and on-budget.
ESSENTIAL FUNCTION AND BASIC DUTIES:
OVERVIEW
- Works on multiple projects & assignments
- Monitors compliance with company and departmental policies
- Utilizes a variety of standard office and specialized project planning, scheduling & related software applications
- Works with internal Company staff and departments on a variety of tasks associated with estimating, pre- and post-negotiations and other areas as required
- Represents Midstate Mechanical in assigned pre- and post-project activities
- As assigned, participate in sales, marketing, and the procurement process
ESTIMATING TURNOVER / BUDGET REVIEW
- Participates in the turnover process
- Reviews contracts for scope, detail, and requirements
- Reviews budgets for validity and correctness
- Identify deficiencies, issues, and concerns
- Reviews codes and variances to determine impact on project schedule, costs, estimates and other project-specific elements
PROJECT SETUP
- Develops and/or reviews job checklist
- Reviews specifications, drawings, blueprints, schematics, and other documents
- Prepares field turnover documents
SUBMITTALS / BUY-OUT
- Initiates and/or identifies equipment, supplies and/or materials to be purchased
- Research and price details of equipment, materials, subcontracts and other project-specific financial needs
- Determines that appropriate quantities of materials and supplies have been identified
- Prepares submittals based on the contract document review and buy-out
- Request, review, submit and approve submittals
- Coordinate the verification of hand connections, room schedules, electrical, etc of equipment and materials
PREPLANNING
- Coordinate with the Superintendents a project preplanning meeting with all internal trades
- Outline the preplanning breakdown if necessary
- Coordinate the distribution of the project documents to the field for review at minimum 2 weeks prior to the meeting
- Record and evaluate the field preplans in the Master Pre-Plan form
- Identify potential project issues and develop a process to correct
PROJECT ACCOUNTING
- Manage, monitor, and forecast project budgets, costs and expenditures.
- Prepare & present a variety of written and/or oral regularly scheduled and/or ad hoc financial, statistical, narrative & related reports
- Review project and billing forecast reports (weekly)
- Prepare, review, analyze, assess, modify and/or present a number of billings, statements and other accounting-related forms
- Understand and manage the Work in Progress process and each component of the WIP and their
- underlying impact on the financial statement of the Company
- Receives customer approval of billings before the close of the month
- Assists with aged receivables
- Understand and follows the contract management approval processes
- Resolve issues with vendors or subcontractors and places payment holds if necessary
SCHEDULING
- Coordinate staffing levels with Superintendents as required
- Coordinate with owners, general contractor and/or other sub-contractor schedules as required
- Review project schedules and updates and make the necessary internal and external adjustments as required
- Identify scheduling conflicts to ensure maximum productivity
PROJECT MAINTENANCE
- Reviews job reports and subcontractor status
- Inputs, updates & maintains records, logs & related documents
- Record project-specific communication
- Conducts site visits on a regular basis and/or as required
- Review and distribute RFIs, ASIs, and other changes in a timely manner
REQUEST FOR INFORMATION (RFI)
- RFI’s must be processed for any deficiencies recognized throughout the review of specifications and submittal process
- Track and ensure open RFIs are addressed in a timely manner
CHANGE ORDERS
- Prepare documentation on change order scope
- Maintain a current change order log and execution of completed changes for billing
- Make necessary budget changes in the Database
- Properly identifies change orders in the WIP
COMMUNICATION
- Serves as a liaison & resource to internal management & customers & clients related to project deliverables & requirements
- Works with a variety of internal departments to provide continuity and consistency on project delivery
COMMISSIONING
- Coordinate with both the Service supervisor and the Superintendents the organization and tracking of the Midstate Mechanical Commissioning Procedures
- Coordinate with both the Service supervisor and the Superintendents the rollout of the program to the construction team
- Periodically review the documents for accuracy and completeness
- Schedules start-up/commissioning meetings onsite with the Service supervisor as well as the construction team.
PROJECT CLOSE-OUT
- Ensure the contracted scope is complete and all punch lists and close-out documents are submitted prior to the completion of a project
- Coordinates the resolution to any potential problems
- Attend a variety of internal and external job review meetings and provide input and information as to changes required
QUALIFICATIONS
EDUCATION: Bachelor’s degree in a relevant discipline preferred; High School Diploma or equivalent required
EXPERIENCE REQUIRED:
- Seven to ten years of experience as a Project Manager, Project Engineer, or other construction trades position with responsibilities to manage projects, project details, and/or related responsibilities.
- Five to ten years of experience within the mechanical trades and HVAC.
- Five to ten years of Commercial experience.
REQUIRED KNOWLEDGE:
- Knowledge of applicable Federal, state, county, and local statutes, rules, regulations, ordinances, codes and other governing requirements
- Knowledge of construction trades such as sheet metal, piping, and plumbing
- Knowledge of the concepts and approaches to modern project management principles and techniques
- Knowledge of budget development, bookkeeping, and accounting
- Knowledge of the basic principles of file and records maintenance
SKILLS/ABILITIES:
- Skill in reading, understanding, interpreting, explaining and applying applicable federal, state, county and local statutes, rules, regulations, ordinances, codes, and other governing requirements
- Skill in simultaneously handling multiple projects and assignments with competing and conflicting timelines, deliverables, requirements and directives
- Skill in establishing and maintaining effective working relations with co-workers, vendors, contractors, the general public, and others having business with Midstate Mechanical, Inc.
- Skill in operating a personal computer utilizing a variety of standard office and customized software applications
- Ability to apply common sense to carry out detailed but simple instructions and to deal with problems involving a few variables.
