Job Description:

The job of Supervisor – Community Education Business is done for the purpose/s of performing difficult accounting technical work requiring independent judgment and knowledge related to District financial procedures; and performing technical, clerical and reporting tasks related to these assignments.

Essential Functions

  • Supervises the fiscal operations of the Community Education department using standard accounting and bookkeeping principles and procedures in accordance with Board polices, rules and regulations, and applicable laws.
  • Maintains accurate, up-to-date records of accounts receivable, accounts payable, and the financial position of the Community Education department in order to ensure that the Community Education department is able to maintain its operations and remain within fiscal year budgets.
  • Assists the Director of Community Education in preparing annual budget requests for department operations to maintain and improve educational opportunities and all necessary support and operations.
  • Prepares monthly operating statements, quarterly reports, and other information or documents as requested.
  • Secures an annual audit of the Community Education department finances.
  • Organizes and maintains a system for accurate and complete record-keeping and reporting for all financial records as required by law.
  • Oversee all Community Education department purchasing, banking activities, payroll, and employee benefits programs.
  • Manage online registration system for all Community Education programs, including parent managed portal.

Other Functions

  • Assists other personnel for the purpose of supporting them in the completion of their work activities.

SKILLS are required to perform single, technical tasks with a need to periodically upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; performing accounting; preparing and maintaining accurate records; advanced skills in analyzing and extracting accounting data; and using pertinent software applications.
KNOWLEDGE is required to perform algebra and/or geometry ; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: state and federal accounting/bookkeeping guidelines; and utilizing spreadsheet software applications
ABILITY is required to schedule activities; often gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize job-related equipment. In working with others, problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific abilities required to satisfactorily perform the functions of the job include: maintaining confidentiality ; meeting deadlines and schedules; working with detailed information/data; adapting to changing work priorities communicating with diverse groups; and working under time constraints .

Responsibility

Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; and monitoring budget expenditures. Utilization of resources from other work units may be required to perform the job’s functions. There is some opportunity to impact the Organization’s services.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 80% sitting, 5% walking, and 15% standing. This job is performed in a generally clean and healthy environment
