GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
You provide general administrative assistance and support services for the Capital Projects team to ensure compliance with the museum Construction Policies & Procedures. You will be a point of contact for the vendors working on the capital projects and will work closely with Assistant Project Managers and the rest of the Capital Projects Operation team to make sure that they have the administrative support necessary to keep projects running at a smooth pace and keeping vendors paid on time. you will maintain project files, project and department operations spend tracking and general office needs.

PRIMARY RESPONSIBILITIES & DUTIES:
Work with and assist Procurement to compile documents for bid packages, including letters, scope of work and construction documents
Manage supplier onboarding, request to pay function, requisition entry, invoice management, and purchase order tracking.
Work independently to track and maintain capital construction project spend to make sure that it matches the general ledger.
File and execute contracts for vendors and track and maintain contractor insurance certificates.
Process materials for change orders against capital construction budgets.
Assist the Contract Project Managers in scheduling meetings with stakeholders across the museum.
Act as the point of contact for mail and package delivery and serve as the computer liaison for various technology maintenance requests.
Assist with the production of support materials for the Buildings Committee meetings
Additional general administrative duties as needed.

REQUIREMENTS & QUALIFICATIONS:
BA degree, preferred or equivalent experience
Demonstrated experience with various administrative tasks including filing, calendar management, and general reception duties.
Proficiency in Workday, Outlook, Word, PowerPoint, SharePoint, Excel, and project management.

COMPENSATION RANGE:
Pay Range: $27.50 - $30.00/hour
