Reporting to the Dean of Academic Programs, the Program Coordinator works collaboratively with the entire Academic Programs team. The Program Coordinator’s work includes a broad range of administrative duties, all in support of Academic Programs and its staff.
Position Description
- Supports Academic Programs’ workflow and calendar, including scheduling meetings for senior-level staff in the office.
- Coordinates and has direct responsibility for collecting data relevant to the work of the Fellowships and Writing Center and other projects as assigned.
- Maintains records relevant to the work of the offices and projects above.
- Maintains and updates records of fellowship competitions and other information in CARAT (the database of fellowships and other opportunities).
- Makes arrangements and provides administrative support for meetings, trainings, workshops, receptions, and other events, as appropriate.
- Facilitates logistics and organizes materials for the events listed above.
- Maintains databases and spreadsheets for Academic Programs and ensures that all records are up to date in support of and in coordination with others on the team.
- Works with Executive Director of the Fellowships and Writing Center to facilitate and coordinate all work associated with the fellowship review committees.
- Provides editorial assistance for office communications including drafting and proofreading.
- Coordinates process for making changes to print and electronic publications about Academic Programs and its work, including website updates, and any media content developed in consultation with the Academic Programs team.
- Processes financial transactions for Academic Programs and its events.
- Provides administrative support for Harvard Horizons and serves as point of contact for Harvard Horizon Scholars.
- Monitors relevant office email accounts.
- Provides smooth daily communication within the unit.
Basic Qualifications
Three or more years relevant experience in an office environment.
Additional Qualifications and Skills
- College degree preferred;
- Ability to work with minimal supervision;
- Excellent organizational skills with meticulous attention to detail and accuracy;
- Ability to work independently and with interruptions;
- Must be able to handle private information with discretion;
- Strong relationship building skills;
- Able to identify and implement improvements to systems and processes;
- Excellent oral and written communication skills;
- Knowledge of Microsoft Office, specifically Excel, Word, and PowerPoint, as well as Adobe, and facility in working with databases.
